Grand River Arts Festival - Beverage Set Up - Sept 19, 2026

I would like to take this opportunity to thank you for participating in our 4th annual arts festival event; we greatly appreciate your support. Listed below are important details with regard to setting up for the evening.
There will be staff at the front gate with the site map to assist you with locating your assigned tent.
Each vendor will receive lanyards for your staff.
Once at your tent, please unload. Volunteers will be available to assist you, The lower lot is available for parking.
Grand River Arts Festival is a licensed event on Friday. ALL STAFF MUST BE 19+ and be SmartServe licensed within the last 5 years as per new AGCO policy. We also need SmartServe numbers for serving staff in advance for our permit - if you have not already sent those, please do so now.
The event runs from 5:00 p.m. until 9:00 pm. Please be set up and ready to greet guests and start serving at 5:00 p.m sharp.
The event is currently selling tickets and we are expecting 450+ guests. You’ll have a captive audience to promote your business. Please be prepared to sell 6 oz. wine, canned spirits and cocktails, and cans of beer, and cider for all interested guests and serve until 9:00 p.m. Service is to stop promptly at 9 PM.
This event is regulated by the AGCO and an inspector will be onsite, so please be prepared for an inspection and have your SmartServe documents available if requested.
The tents and tables will be set up Friday. morning so I would strongly encourage that you to come and set up during the day (anytime after 12 noon) (other than drinks which need to be cooled).
Our guests will come to you with pre-purchased tokens, one blue token equals one alcoholic drink, or 2 Zero Proof drinks, one brown token is for Zero Proof drinks - no $ is exchanged at the bar.
Once a guest has given you the appropriate token, please be prepared to provide/pour either a 6 oz. glass of wine, canned spirits and/or cocktails, and cans of beer, and/or cider for all interested guests and serve until 9:00 p.m.
As a reminder, we will provide you with the following:
Tent
Tables
Linens
Floor mats
Signage
Fire extinguishers
Coolers with ice for each tent
Electricity and prep if requested in advance
A volunteer assigned to your tent to assist throughout the evening.
Glass tumblers will be provided to guests. ONLY our provided beverage vessels should be served in or cans - no outside beverage vessels are permitted and will be conviscated.
You are more than welcome to bring any promotional items to display at your table. Please refrain from hanging anything from the tents themselves.
Lastly, please forward an invoice (our cost) of all products consumed so we can prepare a cheque for you as soon as possible.
