Grand River Arts Festival - Food Set Up Friday Sept 18 and Sat Sept 19, 2026

Thank you from the Grand River Arts Festival!

I would like to take this opportunity to thank you for participating in our 4th annual arts festival; we greatly appreciate your support. Listed below are important details with regard to setting up for the weekend.

  1. There will be staff at the front gate with the site map to assist you with locating your assigned tent.

  2. Each vendor will receive lanyards for your staff. 

  3. Once at your tent, please unload. Volunteers will be available assist you, The lower lot is available for parking.

  4. Grand River Arts Festival is a licensed event for the Friday Night.; ALL STAFF MUST BE 19+.

  5. The event runs from 5:00 p.m. until 9:00 pm on Friday Sept 18 and 11am to 6 pm on Saturday Sept 19 Please be set up and ready to greet guests and start serving at 5:00 p.m sharp.

  6. The event quite busy on both days. Over the weekend we expect upwards of 3500 people. You’ll have a captive audience to promote your restaurant, catering business or food truck. Please be prepared with food for sale for all of our guests and serve until 9:00 p.m and 6 pm.

  7. This event is regulated by the Brant County Health Unit and an inspector will be onsite, so please be prepared for an inspection. Please bring your Safe Food Handling documents.

  8. The tents and tables will be set up Friday.morning so I would strongly encourage that you to come and set up during the day (anytime after 12 noon) (with the exception of the food).  We also have security on Friday evening, so you are welcome to leave your equipment there overnight.

  9. The event will be quite busy on both days.. Please be prepared with food for sale for all of our guests and serve until 9:00 p.m (Friday) and 6 pm. (Sat.). 

  10. As a reminder, we will provide you with the following:

    • Tent

    • Tables

    • Linens

    • Floor mats

    • Signage

    • Fire extinguishers

    • Coolers with ice for each tent

    • Hand washing station

    • BBQ, outlet, or prep table - if previously indicated.

    • A volunteer assigned to assist throughout the event.

    • You are responsible for providing plates and cutlery to deliver the food - we request that these are environmentally friendly as we aim to be a net zero waste event.

You are more than welcome to bring any promotional items to display at your table. Please refrain from hanging anything from the tents themselves.‍ ‍
